Position Summary
J.Q. Motors Ltd. is seeking a proactive, organized, and detail-oriented Purchasing Officer to manage the procurement of automotive parts, workshop equipment, tools, consumables, and operational supplies. The successful candidate will ensure the timely sourcing of quality products at competitive prices while maintaining optimal inventory levels and building strong supplier relationships.
The Purchasing Officer plays a critical role in supporting the company's sales, service, warranty, and workshop operations by ensuring materials are available when needed and procurement processes are efficient, transparent, and cost-effective.
Key Responsibilities
Source and procure automotive parts, accessories, workshop equipment, tools, and operational supplies.
Obtain quotations from approved suppliers and negotiate competitive pricing, delivery schedules, and payment terms.
Prepare and process purchase orders in accordance with company procurement procedures.
Monitor inventory levels and coordinate replenishment to prevent stock shortages.
Work closely with the Parts Department, Workshop, Warranty Department, Finance, and Management to determine purchasing requirements.
Track outstanding purchase orders and ensure timely delivery of goods.
Resolve supplier issues relating to pricing, shortages, damaged goods, and delivery delays.
Evaluate supplier performance and maintain strong professional relationships.
Maintain accurate procurement records, supplier databases, and purchasing documentation.
Verify invoices against purchase orders and delivery notes before submission for payment.
Ensure all purchases comply with company policies, budgets, and internal controls.
Prepare procurement reports and purchasing analyses for management.
Assist with annual stock counts and inventory reconciliation.
Identify opportunities for cost savings and process improvements.
Ensure compliance with health, safety, and quality standards throughout the procurement process.
Qualifications & Experience
Associate Degree or Diploma in Purchasing, Supply Chain Management, Business Administration, Logistics, or a related discipline.
Professional procurement certification would be an asset.
Minimum of 2 years' experience in purchasing, procurement, inventory, or supply chain management.
Experience within the automotive industry is highly desirable.
Experience using inventory or ERP management systems is an advantage.
